Urgent Psych Rx Policy Center
This Policy Center explains the communication, scheduling, billing, privacy, safety, and patient-care policies used by Urgent Psych Rx.
The patient portal, email, voicemail, website contact forms, and routine communications are not monitored as emergency response services. For an immediate medical or psychiatric emergency, call 911 or go to the nearest emergency department. For mental health or suicide crisis support, call or text 988. Do not wait for a response from Urgent Psych Rx when immediate assistance is needed.
Patient Communication at a Glance
1. Patient Communication Policy
Urgent Psych Rx uses secure, appropriate communication channels so requests reach the correct team while protecting patient privacy.
Clinical and Care Questions
All patient-specific clinical and care-related questions should be submitted through the Patient Portal. This includes treatment, medication, treatment-plan, follow-up, symptom, treatment-response, and other protected-health-information questions. Do not send patient-specific clinical information through ordinary email or public website forms.
Scheduling and Payments
Established patients should use the Patient Portal for appointment requests, rescheduling, cancellations, appointment questions, and payments. Do not send card numbers, bank information, passwords, or sensitive financial information through ordinary email.
Billing Questions
Questions about statements, charges, balances, insurance billing, payment posting, or other billing administration may be sent to bi**********@***********rx.com. Avoid including unnecessary clinical or sensitive financial information.
Other Concerns
Administrative, service, patient-experience, or other nonclinical concerns may be directed to Chelsea Melvin, Practice Manager, at c.******@***********rx.com or 469-626-8195.
2. Emergency & Crisis Policy
Urgent Psych Rx provides outpatient psychiatric care and is not an emergency department or crisis-response service. The patient portal, email, voicemail, and website contact forms are not monitored as emergency communication channels.
Medical or Psychiatric Emergency
If you are experiencing an immediate medical or psychiatric emergency, call 911 or go to the nearest emergency department. Do not wait for a response from Urgent Psych Rx.
Mental Health or Suicide Crisis
For suicidal thoughts, a mental health crisis, severe emotional distress, or concern that someone may be at risk, call or text 988 to reach the 988 Suicide & Crisis Lifeline. The Patient Portal is for routine communication and should never be used when immediate assistance is needed.
3. Scheduling Policy
Existing Patients
Established patients should use the Patient Portal for appointment requests, rescheduling, cancellations, appointment questions, and follow-up scheduling.
New Patients
New patients should use the designated secure appointment-request and intake process. Once established, future scheduling communication should be conducted through the Patient Portal.
Patients should provide as much advance notice as reasonably possible when cancelling or rescheduling. Applicable fees are governed by the Cancellation and No-Show Policy.
4. Billing & Payment Policy
Payments should be submitted through the Patient Portal. Billing questions should be directed to bi**********@***********rx.com.
Insurance participation and coverage vary by plan and service. Participation does not guarantee that a service is covered or that a claim will be paid. Patients are responsible for confirming eligibility, deductible, copayment, coinsurance, authorization requirements, coverage limitations, and other patient responsibility with their carrier. The insurance carrier ultimately determines coverage and benefits.
5. Cancellation & No-Show Policy
Patients are expected to attend scheduled appointments or provide appropriate notice when cancelling or rescheduling. Appointment changes should be submitted through the Patient Portal whenever possible.
Repeated late cancellations or missed appointments may interfere with care and may be subject to applicable fees or administrative action. Any fee will be communicated consistent with applicable requirements and the patient’s agreement with the practice. Emergencies and circumstances outside a patient’s reasonable control may be considered individually.
6. Privacy & HIPAA
Patient-specific clinical information should be communicated through the Patient Portal rather than ordinary email or public website forms.
The Website Privacy Policy explains website data, cookies, analytics, forms, and third-party services. It does not replace or modify the HIPAA Notice of Privacy Practices, which describes how protected health information may be used and disclosed and explains applicable patient rights.

7. Patient Rights & Responsibilities
Patient Rights
- Receive respectful and appropriate care.
- Participate in treatment decisions and receive information about treatment options.
- Ask questions about care and applicable fees.
- Have privacy protected as required by law.
- Request access to applicable health records.
- Raise concerns without inappropriate retaliation.
- Receive information about applicable practice policies.
Patient Responsibilities
- Provide accurate information and keep contact information current.
- Follow agreed treatment recommendations and take medications as prescribed.
- Communicate concerns to the care team and attend scheduled appointments.
- Use the Patient Portal for patient-specific communication.
- Treat staff respectfully and follow applicable practice policies.
8. Telehealth Policy
Urgent Psych Rx may provide telehealth services when clinically appropriate and permitted by applicable law. Telehealth may include psychiatric evaluations, follow-up visits, medication management, and other services determined appropriate by the treating clinician.
Not every condition or situation is appropriate for telehealth. A clinician may determine that an in-person evaluation or another level of care is more appropriate. Patients should use a private location when possible, maintain a reliable connection and suitable device, provide accurate location information, and tell the clinician if privacy cannot be maintained. Telehealth is not an emergency service.
9. Spravato® Evaluation & Treatment Policy
Spravato® treatment is available only to patients who meet applicable clinical and treatment requirements. Eligibility is determined through an individualized clinical evaluation.
Availability may depend on clinical appropriateness, medical and medication history, insurance and prior-authorization requirements, monitoring requirements, treatment-site rules, and other applicable requirements. Treatment is administered and monitored in a certified healthcare setting and is not dispensed for home use. Patients must follow all clinician instructions regarding monitoring, transportation, and safety.
Treatment outcomes vary by individual. No specific eligibility determination, treatment response, medication outcome, or clinical result is guaranteed.
10. Patient Complaint & Grievance Policy
Urgent Psych Rx encourages patients to raise concerns so they can be reviewed and addressed appropriately.
